Overview:
The Executive Assistant serves as a strategic partner and trusted advisor to the CEO, acting as an extension of their leadership in driving organizational priorities forward. This role goes far beyond traditional administrative tasks, requiring strong business acumen, judgment, and the ability to anticipate needs before they arise. The Executive Assistant ensures the CEO’s time, energy, and focus are aligned with the organization’s most critical initiatives while serving as a key liaison between the executive office, the leadership team, the board, and external stakeholders.
In addition to managing complex calendars and communications, the Executive Assistant plays a pivotal role in streamlining decision-making processes, identifying and removing roadblocks, and ensuring follow-through on strategic objectives. They often represent the CEO in meetings, prepare materials that drive executive alignment, and shape the flow of information across the organization.
This position requires a proactive leader who is highly organized, relationship-oriented, and able to balance tactical execution with big-picture thinking. By acting as the CEO’s right hand, the Executive Assistant amplifies the effectiveness of executive leadership and contributes directly to the organization’s long-term success.
Key Responsibilities:
- Serve as a trusted advisor and strategic partner to the CEO, ensuring priorities, time, and communications align with organizational goals.
- Anticipate needs, identify challenges, and provide solutions that support executive decision-making and strategic initiatives.
- Manage the CEO’s communications and correspondence, handling confidential matters with discretion.
- Coordinate board relations, including preparation of materials, logistics, and follow-up on action items.
- Streamline information flow from the CEO, ensuring clarity, accountability, and progress on key initiatives.
- Lead preparation and follow-through for leadership and staff meetings, including agendas, briefing materials, and tracking of outcomes.
- Oversee cross-functional projects and special initiatives that advance the CEO’s vision, monitoring milestones and holding stakeholders accountable.
- Build and maintain strong relationships with internal and external stakeholders.
Education and Experience:
- Bachelor’s degree in Business Administration, Communications, or related field; advanced degree or executive training is a plus.
- 7+ years of progressive experience supporting C-suite executives, with demonstrated success in a strategic partnership capacity.
- Proven experience managing board relations, executive communications, and cross-functional projects.
- Nonprofit, start-up, or mission-driven sector experience is highly valued.

- Advanced use of Microsoft Office Suite, Google Workspace, and collaboration platforms (Zoom, Slack, Teams, project management tools)
