Salary Range: $65,000 – $75,000

Overview:

We’re seeking a Grants & Development Manager to bring structure, organization, and follow-through to our development efforts. This role focuses on grants administration, development systems, and limited event-related support – owning the routine, detailoriented work that keeps everything running smoothly.

Grant strategy and new funder opportunities are guided by senior leadership and external consultants. This role partners closely with management by overseeing execution: tracking deadlines, preparing routine proposals and reports, issuing invoices and acknowledgments, and maintaining up-to-date systems. Key Responsibilities:

Grants Administration & Support

  • Own the day-to-day execution of grants, including tracking deadlines, submissions, reporting requirements, and compliance.
  • Prepare routine grant proposals and narrative reports using established templates and guidance.
  • Coordinate inputs, documentation, and timelines for more complex proposals managed by external consultants.
  • Maintain organized digital grant files, including submissions, contracts, correspondence, and reporting materials.
  • Track grant awards, payments, and reporting schedules; ensure all deliverables are completed on time.
  • Draft and send grant acknowledgements and routine funder correspondence.
  • Support leadership with background materials and updates related to grants as needed.

Development Operations

  • Take full ownership of development tracking systems, including CRM and spreadsheets.
  • Issue invoices to funders, sponsors, and partners; track payments and follow up as needed.
  • Reconcile development data with finance to ensure accuracy and consistency.

Gala & Event Administrative Support

  • Provide limited administrative support for the annual gala and fundraising events.
  • Track sponsorships, pledges, payments, and acknowledgements.
  • Coordinate vendor invoices and payment tracking in collaboration with finance.
  • Collaborate with internal team and external event consultant to ensure timely deliverables.
  • Serve as the internal point of contact for operational items with the external event planning consultant.

Miscellaneous

  • Work closely with leadership, finance, and external consultants to ensure smooth execution of development activities.
  • Identify opportunities to improve systems, workflows, and tracking over time.
  • As organizational needs evolve, there may be opportunities to take on additional responsibility in grant writing or event support.

Qualifications

Skills

  • Strong organizational and administrative skills with high attention to detail.
  • Experience managing tracking systems, documentation, and deadlines.
  • Comfortable working with budgets, invoices, and financial data.
  • Clear, professional written communication skills.
  • Proficiency with CRM systems (Salsa CRM or similar) and Microsoft Office, especially Excel and Word.

  • Reliable, proactive, and comfortable owning routine operational work.
  • Able to manage multiple tasks and deadlines with consistency.
  • Collaborative and responsive, with strong follow-through.
  • Comfortable working independently within clear processes and guidance.

Education & Experience

  • Bachelor’s degree preferred or equivalent relevant experience.
  • 3–5 years of nonprofit development, grants administration, or fundraising operations experience.
  • Experience supporting grant submissions, reporting, and compliance.
  • Experience with CRM systems and development data tracking.
  • Experience providing administrative or operational support for fundraising events preferred.
